All about permission profiles

A permission profile defines a user's control levels and rights.
A permission profile is independent of hierarchical level/role (users sharing the same hierarchical level can have identical or different permission profiles).
Several default permission profile options exist:

  • External User: cannot access public workspaces unless invited
  • Custom: you define permissions topic by topic
  • Super-admin: user holds full system permissions

To create a permission profile

To create a new permission profile, follow the steps in this article:How to create a permission profile?By default, the platform offers three profile templates: Administrator, Manager, or User. Choose the one that best fits your needs. You can customize the chosen profile settings later as needed.

To assign users to a permission profile

Once permission profile(s) are created, you can assign users to them:

  • Go to "Organization Administration" via settings (gear icon) at the top right of your screen.
  • Click on "Manage permission profiles" under the Security tab.
  • On the profile where you want to assign users, click "Assign users".
  • You can now add users via the search bar by typing their name, or by pasting a list of usernames or email addresses.
  • Click "Assign" at the bottom of your screen to save.

⭐ You can also bulk assign permission profiles using theuser file.

To edit a user's permission profile

If you wish to change a user's permission profile assignment, follow these steps:How to edit a user's permission profile?


You can also edit a permission across an entire profile. To do so, go to "Manage permission profiles" in Organization Administration. To the right of the profile you want to edit, click "Edit". You can then modify the profile name or adjust specific permissions.

To delete a permission profile

To delete a permission profile:

  • Go to "Organization Administration" via settings (gear icon) at the top right of your screen.
  • Click on "Manage permission profiles" under the Security tab.
  • Click "Delete" below the profile you want to remove.

Note: Deleting a permission profile is permanent.
